Booking Terms & Conditions – Please Read Before Booking

These Booking Terms & Conditions apply to all bookings made with Cot Valley Hideaway, operated by Cot Valley Leisure Ltd. By making a booking, you agree to be bound by these terms.

1. Bookings

The person making the booking must be at least 18 years of age and is responsible for ensuring that all members of their party comply with these Terms & Conditions.

A booking is confirmed once the required deposit has been received and confirmation has been issued by us.

2. Payment

A deposit of 25% of the total booking value is required at the time of booking.

The remaining balance is due:

  • 30 days before arrival for exclusive lodge hire bookings.

  • 14 days before arrival for glamping pod bookings.

We reserve the right to cancel any booking where payment is not received by the due date.

3. Cancellations by the Guest

All cancellations must be made in writing.

Exclusive Lodge Hire

  • More than 30 days before arrival: Full refund of monies paid, less a £25 booking administration fee.

  • Between 14 and 30 days before arrival: 50% of the total booking value remains payable.

  • Less than 14 days before arrival: No refund will be due.

Glamping Pods

  • More than 14 days before arrival: Full refund of monies paid, less a £25 booking administration fee.

  • Less than 14 days before arrival: No refund will be due.

Re-booking of Cancelled Dates

If we are able to re-let the accommodation for the cancelled dates, we may, at our discretion, refund part or all of any cancellation charges paid, less any reasonable administration costs.

We strongly recommend that guests take out suitable travel insurance.

4. Cancellations by Us

In the unlikely event that we are unable to honour a booking, we will offer either an alternative date (subject to availability) or a full refund of monies paid.

Our liability shall be limited to the value of the booking.

5. Check-in and Check-out

Check-in is available from 4:00pm on the day of arrival.

Guests are kindly requested to vacate their accommodation by 10:30am on the day of departure.

Early check-in or late check-out may be available by prior arrangement but cannot be guaranteed.

6. Occupancy

Accommodation must not be occupied by more than the maximum number of guests stated in the booking confirmation.

Only guests included in the booking may stay overnight unless agreed in advance.

We reserve the right to refuse entry or terminate a booking where occupancy limits are exceeded.

7. Children

Children remain the responsibility of their parents or guardians at all times.

Cot Valley Hideaway is located within a rural coastal environment and contains natural hazards including uneven ground, steep slopes, wildlife, livestock and access to nearby coastal areas. Children must be supervised appropriately at all times.

8. Dogs

Dogs are welcome subject to our Dog Policy.

By bringing a dog to Cot Valley Hideaway, guests agree to comply with the current Dog Policy, which forms part of these Booking Terms & Conditions.

Any charges relating to dog damage, additional cleaning or breaches of the Dog Policy remain payable by the guest.

9. Guest Conduct and Quiet Hours

Cot Valley Hideaway is intended to be a peaceful retreat for families, couples and those wishing to enjoy the tranquillity of the valley and surrounding coastline.

We are situated within a small rural community with neighbouring family homes nearby. Guests are expected to respect both fellow guests and local residents at all times.

Quiet Hours

Quiet hours apply between 9:00pm and 8:00am.

During this time:

  • No outdoor gatherings that create noise audible beyond your immediate accommodation area.

  • No amplified music, portable speakers, stereos, radios or similar devices.

  • No shouting, loud conversations, singing or other behaviour likely to disturb neighbouring properties or other guests.

  • Outdoor areas should be used quietly and respectfully.

Music and Amplified Sound

Portable speakers, stereos, radios and amplified music are not permitted anywhere on the site.

Cot Valley Hideaway is not a suitable venue for parties, celebrations involving amplified music, or events that may disturb the peace and quiet of full time residents livng in the valley.

Parties and Events

Hen parties, stag parties, large celebrations and similar events are not permitted.

Respect for the Valley

One of the things that makes Cot Valley special is its peace and tranquillity. We ask all guests to help preserve this by keeping noise to a minimum and being considerate of local residents, wildlife and fellow visitors.

We reserve the right to terminate a booking without refund where guests cause excessive noise, disturbance, nuisance or anti-social behaviour, or where complaints are received from neighbouring properties.

10. Damage, Breakages and Additional Cleaning

Guests are responsible for taking reasonable care of the accommodation, furnishings, equipment and grounds during their stay.

Any damage, breakages, losses or excessive cleaning requirements caused by guests or members of their party may be charged to the lead booker.

We understand that accidental breakages occasionally occur and appreciate guests reporting them promptly.

11. Smoking and Vaping

Smoking and vaping are not permitted inside any accommodation buildings or glamping pods.

Evidence of smoking or vaping indoors may result in additional cleaning charges.

12. Personal Property

Guests are responsible for their personal belongings during their stay.

Cot Valley Leisure Ltd accepts no responsibility for loss, theft or damage to personal possessions except where required by law.

13. Lost Property

We will make reasonable efforts to return lost property where possible.

Any postage, courier or administration costs associated with returning items will be payable by the guest.

Unclaimed items may be disposed of after a reasonable period.

14. Vehicles and Parking

Vehicles are parked entirely at the owner’s risk.

Guests should drive carefully and responsibly throughout the site and respect designated parking areas.

15. Force Majeure

We shall not be liable for any failure to perform our obligations where such failure arises from circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, utility failures, government restrictions, public health emergencies or other unforeseen events.

16. Website Information

Whilst we make every effort to ensure that information on our website is accurate, photographs, descriptions and facilities may occasionally vary from those shown.

We reserve the right to make reasonable changes to facilities, services or accommodation where necessary.

17. Privacy

Personal information provided during the booking process will be handled in accordance with our Privacy Policy.

18. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

Any disputes arising in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
